The challenge

Your providers are drowning in documentation.

Independent clinics and group practices spend an estimated 16 hours per provider per week on charting, prior auth, and insurance verification — work that doesn’t require a clinical license but does require accuracy, discretion, and trust.

Hiring locally for these roles is slow, expensive, and seasonal. Generic outsourcing puts PHI at risk and produces work that has to be redone. Neither is acceptable when your reputation rides on every chart.

Zitro pairs you with virtual specialists trained specifically in US healthcare workflows — billable codes, HIPAA boundaries, EMR/EHR conventions — and supported by a compliance-aware operations layer.

Roles we deploy

Specialists trained for healthcare & medical from day one.

Each role ships with documented SOPs, fluency in your tools, and a backup specialist on the bench.

Compliance & trust

HIPAA-aware from screening to handoff.

Compliance is operational, not a checkbox. Our specialists train on HIPAA before client placement, and our infrastructure is built to keep PHI in your systems — never on theirs.

HIPAA-aware workflows

Specialists complete HIPAA training and sign BAAs before any client placement. PHI handling is documented, audited, and supervised.

Encrypted endpoints

Locked-down workstations, encrypted at-rest and in-transit, no local PHI storage, MFA on all access. Endpoint posture verified weekly.

Background-checked talent

Multi-stage background checks, reference verification, and ongoing security awareness training for every healthcare specialist.

Note — Zitro provides administrative support and is not a covered entity. We sign BAAs with clients on request. We do not provide legal or compliance counsel — your privacy officer remains responsible for your overall HIPAA posture.

Questions, answered

Healthcare & Medical FAQ.

Do your specialists work directly in our EMR?
Yes. Specialists work in your EMR using credentials you provision, on Zitro-managed locked-down workstations. No PHI is stored on their endpoint, and access can be revoked instantly by your team.
Will you sign a BAA?
Yes — Zitro signs Business Associate Agreements with every healthcare client before any PHI access. Our standard BAA is available for review during the discovery call.
How do you handle PHI training?
Every healthcare specialist completes a HIPAA training module before client placement and refreshes annually. Specialists also complete client-specific privacy and security training during onboarding.
What if my specialist is sick or leaves?
Every role has a trained backup on the bench. Coverage is seamless. If a specialist leaves, we present replacements within 5 business days and the new hire is fully ramped within 14.
Can specialists handle phone calls with patients?
Yes — for administrative purposes only (scheduling, reminders, intake, eligibility). Specialists are trained to escalate any clinical question to your team and never offer clinical advice.
How is pricing structured?
Flat monthly rates per specialist, scoped to part-time, full-time, or custom-pod engagement. Pricing varies by role complexity and compliance scope. Final quote within one business day of discovery.
